Endorsing Headers and Footers

You can use the Batch Process tool to add custom headers and footers to images and both searchable and image-only Adobe Acrobat PDF files. The same header and footer may also be applied to printed images and PDF files during batch processing, although it will not be stamped on the image unless the endorse process is selected.

Note

After headers and footers are added to a PDF-converted file, and the PDF file is endorsed or printed, the original version of the PDF file, [original file name]_original.pdf, is created in the <case root>\$Image Archive folder, even if a PDF file is printed without the Endorse Image check box selected.  

HeaderFooterWindowIcon Header/Footer

This window is used to configure both the Header and Footer settings for the Endorse Image process of the Batch Processing Utility. You can click the Preview button at any time to open the Image Preview window to see a snapshot of how your current settings should appear.

Toolbar

The buttons provided here allow you to change the font format, add relevant page and/or Metadata Field information, and set the text alignment. Keep in mind that only Times New Roman, Courier, Symbol, and Helvetica fonts are supported for PDF files, and that certain light font colors (silver, white, gray, yellow, etc) may not be properly extracted when performing OCR. The following buttons open additional option windows:

Select font for current item - This will open the Font window, allowing you to configure the font format for the current section.

Adds an index field value - This will open the Select Field window, allowing you to select Available Fields to insert into the current section.

Synchronize fonts for all sections - Any changes made to the font format (Select font for current item) will be applied uniformly to all sections of the Header and Footer. Alignment is not affected by this setting.

Resize

This section is used to determine the overall size of the Header and/or Footer being added to documents:

Automatically based on endorsement text - The size is automatically adjusted in increments of 1/4" until it is large enough to fit all text.

oEnable word-wrap - Text is automatically moved onto new lines in order to fit properly. PDF files wrap text regardless of whether or not this setting is enabled.

Manually - The size is determined by selections made here, only taking effect if text is actually entered. 1/2" can sufficiently fit 2 lines of text at the default size (12 point font). Any text not fitting within the specified size is cropped out. - This border is added to the image to eliminate the chance of overwriting image data. Placing headers and footers on a border also makes it easier to edit or remove any header or footer previously applied by CloudNine™ LAW.

oHeader (in.) - Determines the size of the Header in inches.

oFooter (in.) - Determines the size of the Footer in inches.

Header

Type directly into these input boxes (max of 8 lines) to specify the Header text:

Left section - This is the left-most section of the Header.

Center section - This is the middle section of the Header.

Right section - This is the right-most section of the Header.

Footer

Type directly into these input boxes (max of 8 lines) to specify the Footer text:

Left section - This is the left-most section of the Footer.

Center section - This is the middle section of the Footer.

Right section - This is the right-most section of the Footer.

 

Considerations for Headers/Footers

When performing batch processes on larger sets of documents, it's good practice to first apply the Endorse Image process to a smaller group of documents before committing these settings to the entire batch.

You should use caution when adding endorsements to rotated images, as removing or later modifying this text can lead to actual image data being removed from those documents. To prevent this from occurring, ensure that images are always in the same orientation before adding, changing, or removing any endorsements.

Once these endorsements are applied, you can Validate Endorsed Images by using the Scan For Errors tool (File > Administration > Scan For Errors...).

The following languages are currently supported for endorsing Adobe Acrobat PDF images:

 

Bulgarian, Catalan, Czech, Danish, English, Estonian, Finnish, French, Greek , Haitian Creole, Hebrew, Hmong Daw, Hungarian, Indonesian, Italian, Klingon, Latvian, Lithuanian, Malay, Norwegian, Polish, Portugese, Romanian, Russian, Slovak, Slovenian, Spanish, Swedish, Turkish, Ukranian, Urdu, Vietnamese

 

If an endorsement contains a language other than one the languages listed above, the endorsement will not be applied to the PDF image.

Before you apply a header or footer to a large set of documents, first apply the specified header/footer on a small subset of documents. Be sure that text fits and that other results match your expectations and then if necessary adjust accordingly and retest.  

If trying to position text using spaces, it is easiest to use a monospace font, such as Courier New or Lucida Console in which all characters are the same width.

Use caution when working with rotated images containing an existing endorsement.

If the endorsement does not appear on the top or bottom of the image due to a manual rotation (as viewed in CloudNine™ LAW), removing or modifying the existing endorsement on this image will cause LAW to remove the endorsement (which LAW thinks exists on the bottom of the image) and may remove actual document data located at the bottom of the image. One way to prevent this from occurring is to first rotate the image so the endorsement that LAW applied to the image appears as it was applied.

 

WindowIcon To Preview Endorsing

The preview button Preview allows the user to view the Font, Alignment, and positioning of the headers and footers on a sample image without endorsing.

1.  To use the preview window, select Preview.  The Image Preview opens in a new window.

IconBestfit  Best Fit

Formats the sample image with sample endorsements in the Image Preview window so that all can be displayed.

IconFit to Width  Fit to Width

Formats the sample image with sample endorsements in the Image Preview window so that the width extends to the edge of the viewer.  (This setting may cut off headers/footers from view.)

IconFit to heighth Fit to Height

Formats the sample image with sample endorsements in the Image Preview window so that the height extends to the edge of the viewer.  

IconActualSize Actual Size

Displays the sample image with sample endorsements in the Image Preview window without formatting.

IconZoomIn Zoom In

Allows the user to zoom in on parts of the sample image for closer review.

IconZoomOut Zoom Out

Allows the user to zoom out on parts of the sample image.

4.  Selecting OK closes the Image Preview window.

After endorsing, you can also validate the endorsement using the Scan for Errors dialog box. See Scanning for Errors for details.

1.Select text to format and then click Font button.

2.The Font configuration will open in a new window.

4.Select the color of the font as desired - Version 6.18+

Warning

Some colors endorsed on white may not have the text extracted through the OCR process.  (For example: Silver, White, Lime, Aqua, Gray or Yellow fonts)

Currently, LAW only supports the following fonts when endorsing Adobe Acrobat PDF files:

InfoIconTo Change or Remove Headers and Footers

To change or update the existing header or footer that LAW applied to the document, just bring up the header and footer window and update it to the new header and footer that you wish to have. Then rebatch the files

To remove the existing header/footer, without adding a new one, remove any text in the header and footer fields, or set the border size to None.

CloudNine™ LAW removes the previously applied headers/footers and adds any new one that you specified.

You can also search on the page level fields of header and footer for a value of 50. 50 equals 1/2", 25 equals 1/4" etc.
